Freelance invoice template: exactly what to include
A freelance invoice isn't complicated, but a vague or incomplete one quietly delays your money. Clients pay clear invoices faster and question messy ones. Here's exactly what every freelance invoice needs — the eight parts, in the order they should appear — plus the one field that shortens payment time more than any other.
The word "Invoice" + a unique number
Label it clearly and give it a number (INV-0001, INV-0002…). The number matters for your records and for the client's accounts payable system — "the invoice" is harder to chase than "invoice INV-0014."
Your details
Your name or business name, email, and — if you have them — address and tax/registration number. This is who the money goes to and who the client contacts with questions.
The client's details
Who you're billing: their business name, the contact person, and email. If they gave you a PO number, put it on — invoices with the right PO get paid without a back-and-forth.
Invoice date and — critically — a due date
Don't write "Net-30" and leave them to do the math. Write the actual date the money is due. This is the single field that most shortens payment time: a concrete due date creates a deadline; "Net-30" creates a vague intention.
Itemized work
List what you did, with quantity and rate for each line — "Homepage redesign, 12 hrs × $75" — not one lump sum. Itemized invoices look professional, are easy to approve, and pre-empt "what was this for?" questions.
Subtotal, tax, and total due
Show the subtotal, any tax as its own line (with your tax number if registered), and the final total in bold. The client should see the number they owe without adding anything up.
Payment instructions
How to pay you: bank transfer details, a payment link, or whatever you accept. The easier you make paying, the faster it happens. Missing payment details is a shockingly common reason invoices sit.
Terms and a late fee
State your payment terms (e.g. "Payment due within 15 days") and, if you use one, a late fee ("1.5% per month on overdue balances"). A late fee turns a soft due date into a real one.
